Would you like to preserve your archive and make it accessible to future generations? Liberas welcomes archives from organisations, companies and private individuals.
Our collections focus is on the history of freedom, democracy and civil society in Flanders. This includes archives of political movements, socio-cultural organisations, companies, and individuals who have contributed to this story. Whatever the context, Liberas ensures that your heritage is preserved with care.
Donating your archive: how does it work?
Transferring your archive to Liberas follows a clear and structured process. It begins when you inform us about your archive or formally offer it. This may include paper or digital documents, photographs, posters or other materials.
The process step by step
The process step by step
Transferring your archive does not have to be complicated. Liberas will guide you from start to finish.
Initial contact
Register your archive via the contact form or get in touch with one of our relationship managers or staff members directly. Please include a short description: who or what the archive relates to, the type of material, its approximate size and its condition.Introduction and assessment
A member of our team will contact you to arrange a meeting. Together, we assess the historical and archival value of the material and discuss practical matters. If needed, an archivist can visit you for a non-binding introductory meeting.Agreement
If we jointly decide to proceed, the arrangements are formalised in a written donation or deposit agreement. This document sets out ownership, duration (in the case of a deposit), access conditions and any restrictions.Transfer and transport
We agree on how and when the archive will be physically transferred to Liberas. For larger collections, Liberas can assist with the practical and professional organisation of the transport.- Processing and access
Once received, the archive is registered, preserved under appropriate conditions and, where relevant, digitised. An inventory is created, allowing researchers and other users to consult the material.
Donate or deposit your archive
Donate or deposit your archive
There are two ways to entrust your archive to Liberas:
- Donation
You permanently transfer ownership to Liberas. We assume full responsibility for the preservation, management and accessibility of the archive. This is the most common and straightforward option, offering long-term certainty.
- Deposit
You retain ownership, while Liberas preserves and manages the archive for an agreed period of time or indefinitely. This option is suitable if you prefer to maintain ownership or wish to set specific conditions.
In both cases clear written agreements are made regarding access, consultation and and any possible publication of documents from the archive.
Not sure which option suits you best? Feel free to contact us — we are happy to advise.
